Position Overview
We seek a Client Service Manager as a member of our support and service team to support the client management, investment and life insurance servicing and technical design. Candidates should be detail-oriented, and analytical with both technical and communication skills. Responsibilities include developing client relationships and supporting insurance reporting and new case development and design by running illustrations, creating reports, maintaining files, and assisting with research. Prior experience in finance, insurance, banking or retirement benefits is required. Studying for the CFP or having a CFP designation is preferred. Responsibilities:Areas of Responsibility
  1. Account Management & Client Service Administration
    • Serve as "internal client relationship manager, working in partnership with one of the firm's principals.
    • Provide timely delivery of client services for investment, insurance and financial planning private clients per the Client Service schedule
    • Respond promptly to "ad hoc" client service requests.
    • Appropriately communicate with and respond to clients on service issues.
    • Interface with business partners in the retirement, life insurance and investment industry.
    • Manage new business and client service workflows by preparing, processing and filing paperwork for financial plans, investments, insurance and annuities.
    • Communicate with carriers and providers as needed.
    • Schedule client and prospect meetings via phone and/or email.
    • Accurately prepare hard copy and/or upload (iPads) materials for client and prospect meetings to include:
      • Cash Flow Summaries and Comparisons
      • PowerPoint presentations
      • Morningstar Asset Allocation Portfolios
      • Agendas/Meeting Summary Notes
    • Attend Client meetings on a periodic basis
    • Promptly complete administrative follow-up action items (such as fund/policy changes)
    • Prepare process and file paperwork for individual/corporate benefit plans, investments, insurance and annuities.
    • Create and update Insurance/Investment Policy Statements
  2. Internal Administrative Support
    • Maintain accurate client information and interaction updates utilizing our Client Relationship Management (CRM) system.
    • Create and maintain client electronic files
    • Update service calendar/schedule with new client deliverables
    • Create, send, track and process client invoices and payments
    • Maintain applicable revenue tracking reports as assigned.
    • Follow and assist with compliance procedures
    • Evaluate current systems and suggest ideas for improvement.
    • Update and maintain procedure manuals to include enhanced efficiencies.
    • Continually develop investment and insurance knowledge and pursue industry licensing and credentials.
  3. Marketing and Sales Support
    • Assist advisors in preparing sales reports, and assisting with marketing campaigns, including preparation of marketing materials for dissemination, communication with prospective clients.
    • Assist with preparation and coordination of educational seminars
  • Bachelor's degree
  • Series 6, 63 licenses; CFP and Series 65 are preferred
  • 2-5 years finance/insurance industry experience
  • Knowledge of illustration systems and case design a plus
  • Knowledge of CRM systems a plus
  • Strong written and verbal communication skills
  • Customer service mindset, listening skills and empathy
  • Strong organizational skills
  • Ability to switch between various tasks quickly
  • Team spirit and interest in team and firm growth
  • Professionalism, ethical decision-making and strong moral character
  • Persistence and drive. Ability to accomplish a task that takes multiple efforts to complete.
  • Exceptional skills in Microsoft Office applications
